TERMS & CONDITIONS
- FAMILY HIRE ONLY, No all male or female same age parties, anyone under the age of 21 hiring the Lodge as per Haven Letting rules.
- The total number of persons staying in the caravan shall in no circumstances exceed the capacity of the holiday home which is 4 to 6. By exceeding the number may void the Lodge insurance, and could result in your stay being terminated, with any charges that incur be invoiced to you.
- The Lead person is responsible for the conduct of his/her guests and family and shall take steps to ensure that their behaviour does not cause a nuisance, inconvenience, disturbance to other occupiers cause damage to property belonging to the RHPT Holdings Ltd or such other occupiers and caravans nearby. RHPT Holdings Ltd management or Haven reserve the right to terminate your accommodation if, in their opinion, any person behaves in a way prejudicial to the well-being of others. No refund of any monies will be offered should this happen. By accepting terms and conditions, you are also therefore bound to the rules of the park as stated by Haven. These can be found in the information pack in the Lodge.
- The Hirer’s vehicle is parked entirely at his/her own risk in nearby parking that is available, NOTE: please do not park on any grass area. RHPT Holdings Ltd are under no liability whatsoever in respect of any damage caused by or to the vehicle from whatever cause or for the loss or damage to articles left therein. As per Haven rules, no commercial vans are allowed on site.
- A minimum of £75 none refundable deposit is required at the time of the booking, to secure the dates you require, plus an extra £100 ‘Damage and Cleaning’ bond, which is fully refundable 7 days after your leaving date, providing the lodge on inspection is as it should be. By paying a deposit you agree to pay the outstanding balance 6 weeks prior to your arrival, along with the refundable Bond. We reserve the right to cancel your holiday if full payment is not paid as agreed, as per the cancellation policy contained within. Once a booking form has been completed, confirmed and deposit received any changes to the number of guests or any booking information, may be charged per update at our discretion. If paying via PayPal, the hirer must agree to cover any PayPal fees, we require the full balance request.
- Entertainment Passes are not provided by RHPT Holdings Ltd at the time of your booking; your holiday cost is for your stay in the Lodge only. Once all yours and your guests’ details have been provided, plus mode of transport etc, we will pass these on to Haven. This is to book you on the park for dates required, and for Haven to offer you your chance to purchase passes. Any problems with this must be reported to us immediately, for us to look into any issues etc.
- Cancellation Policy
If for any reason you cancel your holiday, any refunds may only be made if the caravan is re-let on your dates and will be subject to our cancellation policy. There is a cancellation charge of 10% of the holiday cost and the £75 nonrefundable deposit will not be refunded. If the Lodge is re-let on your dates, a refund may be given at our discretion. The hirer may wish to consider buying cancellation insurance (not available from the RHPT Holdings Ltd). RHPT Holdings Ltd reserves the right to cancel any holiday without prior notice, due to unforeseen circumstances or damage from a previous guest that deems the lodge unfit to stay in, which we are not responsible for. If we cancel your holiday prior to arrival, you will receive a full refund of any moneys already paid to us (no compensation fees will be paid). If this should occur, we have names of other owners who may be able to help you to continue with your holiday, we will see to this if you wish. If your holiday is cancelled during your booked holiday dates due to a breach in terms and conditions, no money's will be refunded, and additional charges may occur. If RHPT Holdings Ltd or Haven cancels your holiday due to a breach in the terms and conditions the cancellation policy charges will apply. If you must cancel your holiday, you must telephone us in the first instance and notify us in writing within 3 days of the telephone call. In the event of cancellation, the following charges apply Plus 10% Admin Charge:
Length of Time before arrival - 62 days or more Cancellation Charge + Deposit
Length of Time before arrival - 62 to 29 days Cancellation Charge + 50% + Deposit of the total holiday cost Length of Time before arrival - 28 days or less Cancellation Charge + 90% of the total holiday cost.
As previously stated, if we can re-let the caravan to a new family, we may at our discretion refund you minus 10% admin charge and the nonrefundable deposit. - The Hirer agrees to indemnify RHPT Holdings Ltd in respect of any damage caused to the Lodge or to the property of third parties and against personal injury caused by the Hirer or members of the Hirer’s party. The hirer MUST give notification of any damage as soon as possible, if after your stay damage has not been reported, upon inspection this may affect your £100 ‘Damage & Clean’ bond, it is also in your interest to notify us of any faulty or damaged items upon arrival. If for any reason you are not happy with the holiday home upon arrival or Damaged, Broken or Dirty items are seen, these "must" be reported immediately on your first day of occupancy! This is to ensure that the hirer is not held responsible for anything that is seen after the hirer has departed when the holiday home is cleaned, checked and inventoried. If anything is reported that requires immediate resolution, we must be given the opportunity to resolve the problems, you agree to give us 24 hours to resolve reported issues. if you do not accept the resolution we offer and decide to terminate your holiday, this must be done on the first day of occupancy and no refund will be given.
- The Hirer will not permit or suffer anything to be done which would endanger any policies of insurance which the RHPT Holdings Ltd has affected in respect of its business hiring out is Lodges.
- RHPT Holdings Ltd will not be liable to the Hirer nor his/her guests or any dependents for any injury or loss or damage to any property howsoever caused.
- Please do not use ANY BBQ equipment on the decking or the decking furniture, if doing so any damage is incurred to the decking or furniture, RHPT Holdings LTD will invoice you for the replacement of cost to repairs and replacement.
- All refuse or litter is to be deposited in the refuse bins provided and the area surrounding the caravan is to be kept in a clean and tidy condition, please, ensure when departing the caravan that it is left in a "Clean and Tidy State" as was per your arrival, surfaces wiped, carpets and floor cleaned and any kitchenware used is to be cleaned and dishwasher emptied. Items to clean will be left under the sink, and vac is available in the walk-in cupboard etc.
- NO SMOKING IS ALLOWED IN THE LODGE, please ensure that if you smoke any form of tobacco, that this is done outside with doors\windows closed and all waste is placed in Bins. Any sign of smoking in the van will affect your £100 Bond.
- We do supply pillows and quilts which are covered in waterproof protection, this is to protect the beds, also for ours and your own hygiene purposes of sleeping on them. These items are not to be removed, if mattresses, pillows or quilts are left in an unhygienic manner, this will affect your £100 Bond. Quilt covers, Sheets and pillowcases are provided by us, extra bedding that is used will incur an extra cleaning fee of £10. If you prefer to use your own bedding, please state this before your arrival, however, please ensure that you take your own bedding as this must be used. This is part of the ‘Damage & Clean’ bond, and breach will affect this been returned to you. A tea towel will be left for use on arrival, but we do not provide bath or hand towels, these will be provided by yourselves.
- We are a pet friendly Lodge at Southcliffe Court; we accept a small breed only. We ask that you do not allow your pets to share any of the bed space with you, and that any soft furnishings are covered with covers to protect them for ourselves or other guests to sit on. Throws will be left for this purpose. We also request that any Pets are not left alone in the Lodge for long periods of time, this is to prevent any accidents or damage to the Lodge, barking at the caravan windows and causing disturbances for other holiday makers and Caravans nearby. The Lodge is in a very sunny position and does get hot during day light hours. Please report any accidents or damage before your departure. Any abuse found of this will affect your £100 refundable bond or any additional monies may be sought through courts if the costs exceed the Bond.
- Gas, Electricity and Water is included with the holiday cost although we do operate a fair usage policy, please, do not leave gas central Heating systems and Electric fires on permanently when you are not in the holiday accommodation as this is not considered as fair usage. This could affect any future bookings via yourselves. The boiler is set to temperatures for the water and radiators, that are comfortable for your use. Please do not touch or tamper with boiler. If any damage is incurred through this, you will be charged with the costs of repair. If the boiler fails to work at any time, please contact security at Haven who will come to your assistance. The number is left in the Lodge.
- WIFI is provided by Safe 9 via router, payable from, RHPT Holdings Ltd. The password can be found in the Lodge information pack on arrival. This at no further costs to yourselves. Haven do provide Wifi around the park. However, it is well known by Owners, frequent holiday makers, Locals that the WIFI does occasionally disappear at times of high usage around the park, or adverse weather conditions. This is beyond our control and cannot be held responsible. This does correct itself, we ask for a little patience if this should happen.
- TV’s - all Tv’s are Fire or smart TVs, we are happy for you to provide your own passwords if you choose to watch any of the services on them, however, please delete on your departure to prevent anyone using your details.
- Arrival Time is strictly from 1pm, unless alternate time if offered and confirmed by Jackie or Rob at RHPT Holdings Ltd, before the arrival date. Departure time on the last day of occupancy is no later than 10am. This is as per park rules, also to allow the Lodge to be checked and cleaned ready for family, friends or guests’ arrival later that day. If you stay longer than this time, and prevent anyone being able to clean the van, extra day hire charges will be incurred.
- Storage Box – the storage box outside houses the Decking furniture cushions, before your departure if use them, please place them back in the storage box, also do not leave out if heavy rain or high winds. These are expensive to replace and any loss or damage will affect your bond. The box may be used to store bikes/scooters etc during your stay.
- Christmas and New Year stays. These will only be offered to book for returning guests that we are happy to have stay with us again, as these dates are not advertised but wish to explore, please get in touch.
PLEASE NOTE:- If any of these terms and conditions are broken, damage or abuse to the Lodge etc. your personal details could be passed over to other private holiday homeowners and you may find it difficult to book privately in the future.
